Volunteering
Clinic role descriptions are attached for your reference. Scroll down to see all the roles, including Vaccinator, Door 1 & 2, Greeter, Medical Observer, Registration Assistant, and Exit. The roles of Vaccinator and Medical Observer are only for licensed medical professionals.
Please review your role before your shift and let us know if you have any questions. Please note: Greeter 1 is an outside position. We recommend dressing warm and wearing layers! Our newest position of "Computer" will be for volunteers to assist guests in making their second dose appointment after their vaccination. We will provide ipads for this task!
Hours
Volunteers should arrive 30 minutes before your shift, for orientation.
PPE
Face masks are required and we will be practicing social distancing at all times. We will also have surgical masks, hand sanitizer, gloves, goggles, and face shields available at all times. Also hand warmers!

Please leave parking spaces in the front lot for our elderly guests.
Descriptions of the Volunteer Positions
Vaccinator
- Licensed RN, CNP, PA, DO, or MD
- Complete orientation at site starting one half hour prior to the start of the assigned clinic time
- Greet people as they arrive
- Direct guests to sit in a socially distanced waiting area of the vaccination room
- Call each individual up to vaccination station (behind screen) for review of screening questions and vaccine administration
- Work as a team with a medical observer, may change roles periodically
- Answer questions about COVID-19 vaccine and assist with screening paperwork, as needed
- Notify/consult with Medical Lead of any concerns or “yes” answers on screening forms
- Document each vaccine administration
- Notify Medical Lead or partner medical observer of any resupply needs at vaccination station
- Ensure that each vaccine recipients also receives a corresponding written vaccine card documenting the COVID-19 vaccine dose #, lot number, date, and location of the clinic (Northampton Senior Center)
- Encourage vaccine recipients to sign up for the V-Safe app (handouts and posters available at the site)
- Educate vaccine recipients about how they will get their second dose
- Give each vaccine recipient a promotional sticker “I got my COVID19 vaccine”
- Ensure that social distancing is being practiced at all times
- May be asked to assist with drawing up vaccine doses
- Do not talk to the press—refer all inquiries to The Northampton Health Department
- Please arrive 30 minutes prior to your scheduled shift for vaccinator orientation

Door 1 & 2
Door 1 & 2 will be stationed in The Great Room at entrance doors. This is an indoor position. Please wear a face mask and gloves at all times.
- Only admit people who are registered for the current time slot
- Greet people as they arrive
- Ask guests to sanitize hands
- Using tongs, provide a mask to guests.
- Guests can replace their face mask or wear it over their face covering
- Direct guests to sit at a chair and complete registration materials
- Wipe surfaces after the guests leave the room (chairs, tables, clipboards, pens)
- Ensure that social distancing is being practiced at all times
- Do not talk to the press—refer all inquiries to The Northampton Health Department
- Please arrive 30 minutes prior to your scheduled shift

Greeter
The Greeter will be stationed at the corner of the building to welcome guests when they arrive and direct them to the vaccination clinic. This role is very important to manage traffic and avoid backups at the door. This is an outdoor position, please dress accordingly. A face mask is required to be worn at all times.
- Wear a face mask, high visibility vest, and name tag that are provided for you
- Greet people as they arrive
- Verbally confirm their time slot for the vaccination clinic
- Only admit people who are registered for the current time slot
- Guests can line up at the cones 5 minutes before their appointment
- If someone is very early, direct them to wait in their car until the appointment time
- The front door of the building is handicap accessible for those in need
- Ensure that social distancing is being practiced at all times
- Do not talk to the press—refer all inquiries to The Northampton Health Department
- Please arrive 30 minutes prior to your scheduled shift

Medical Observer
Medical Observers will be stationed in the vaccination and observation rooms to assist with screening of individuals using CDC screening forms and closely monitor recipients for 15-30 minutes after vaccine administration for any adverse reactions including signs of anaphylaxis, vasovagal episode, or other medical complications. The observer or their designee (the vaccinator, other clinic staff/volunteers) will immediately inform the Medical Lead if there are any post-vaccination reaction concerns. This is an indoor position. Please wear a face mask, face shield, and gown at all times.
- Greet people as they arrive
- Direct guests to sit in a socially distanced waiting area of the vaccination room
- Call each individual up to vaccination station (behind screen) for review of screening questions and vaccine administration
- Answer questions about COVID-19 vaccine and assist with screening paperwork, as needed
- Reiterate/inform vaccine recipients of the 15 minute observation period (30 minutes for some individuals based on screening)
- Notify/consult with Medical Lead of any concerns or “yes” answers on screening forms
- Monitor vaccine recipients for minimum of 15 minutes for any adverse reactions including signs of anaphylaxis, vasovagal episode, or other medical complications
- Notify Medical Lead of resupply needs at vaccination station
- Ensure that each vaccine recipients also receives a corresponding written vaccine card documenting the COVID-19 vaccine dose #, lot number, date, and location of the clinic (Northampton Senior Center)
- Encourage vaccine recipients to sign up for the V-Safe app (handouts and poster available at the site)

- Ensure the walkway is not slick or wet (from snowy boots)

COVID Vaccine for Volunteers
We are allowed to provide the COVID vaccine to our clinic volunteers. Click here to register for an appointment that is most convenient for you (scroll to the blue boxes). If you choose an appointment on the same day as your volunteer shift, you will be vaccinated at the end of the clinic, regardless of the appointment time you choose. Select "non covid facing healthcare worker" from the dropdown menu as your eligibility category. When you arrive at your appointment, you can let registration know that you are one of my volunteers.
Special Note: Now that 65+ are allowed to get vaccinated, many of the appointments are filling quickly. If the clinics are full when you try to sign up, you may be able to get vaccinated the day of your clinic if there are no-shows or if we turn away ineligible guests. Additionally, we are going to set a volunteer-only clinic each week to vaccinate any remaining volunteers and I'll be forwarding this date & time as soon as it's set up. Thank you for your patience and understanding as we iron out these new details.
